AI Workflow Automation for Small Business
The repetitive work comes off your plate. I set up one AI system that runs inside the email, calendar, payments, and notes you already use, and it knows your business well enough to do the work in your voice.
What Is AI Workflow Automation for a Small Business?
It means the predictable parts of your week stop needing you. The follow-up that has to go out, the note that has to get filed, the invoice that has to get chased. A workflow is just the steps you already take. Automating it means writing those steps down once so software runs them from then on.
What I set up is one system, not a pile of separate tools. It lives in the software you already pay for, it has read your business, and it writes the way you write. So the first draft of the follow-up is already there when you open your laptop, and it sounds like you.
I run my own company on this exact system. Clients, billing, the CRM, email, content, meeting notes. That is the thing I set up for you, not a demo of it.
What Comes Off Your Plate
Every business is different, but this is the work that goes first for most of the people I set this up for.
Follow-Up
Someone fills out your form or sends an inquiry. The reply is drafted in your voice within minutes, the person is on your calendar, and the next nudge is already scheduled. Nothing sits in your inbox waiting for you to feel like writing it.
New Client Setup
You close someone. The welcome email, the intake questions, the folder, the kickoff invite: all of it fires off the moment you say yes, in the order you would have done it by hand.
Notes and Filing
Information off emails, forms, and documents lands where it belongs instead of in a pile you promise to sort on Friday. Meeting notes turn into a summary and a list of what you owe people.
Invoicing and Chasing Payment
Invoices go out when the work is done, reminders go out when they are late, and payments get matched against what you billed. You stop being the person who has to ask twice.
Your Weekly Numbers
The handful of numbers you actually check get pulled together and put in front of you on a schedule, so you are not opening four tools on a Monday to answer one question.
Your inbox gets sorted, the routine ones get a draft waiting for you, and the ones that genuinely need you get flagged. You approve and send. You are still the one who hits send.
How It Actually Goes
A Free First Conversation
You tell me where your week goes. I tell you honestly whether this helps and where I would start. If the answer is that you do not need me yet, that is what I will say.
The Setup, Built Into Your First Month
Two hours, on your own business, with you in the room. We wire it into your email, calendar, payments, and notes, and it does real work on your real accounts. Every plan includes it: one first payment covers the Setup and your first month, $697 with Cruise, $997 with Accelerate, or $1,497 with Overdrive.
Pick a Monthly Pace
Cruise is $97 a month after that. Accelerate is $397 a month and includes an hour with me. Overdrive is $897 a month and includes three. One-off working sessions are $497 an hour if you would rather not be on a plan.
It Keeps Getting Better
The system learns more about your business every month you use it, and we keep pointing it at the next thing that is eating your time. Current rates hold through Dec 31. On Jan 1 every plan goes up.
It Runs Inside the Tools You Already Pay For
There is no new app to log into and no dashboard to remember. The system works where you already work:
- Email: Gmail or Outlook
- Calendar: Google Calendar or Outlook
- Payments: Stripe and QuickBooks
- Notes and documents: Google Docs, Notion, Google Sheets
- Messages: Slack and Microsoft Teams
- Booking: Calendly and Cal.com
Underneath it is Claude, set up specifically for your business. If a tool you rely on can be connected, it usually can be. That is one of the things we settle in the first conversation.
Frequently Asked Questions
How much does AI workflow automation cost for a small business?
The first conversation is free. Every plan starts with one payment that covers the two-hour Setup and your first month: $697 with Cruise, $997 with Accelerate, $1,497 with Overdrive. After that, memberships run $97, $397, or $897 a month depending on how much time with me you want. One-off working sessions are $497 an hour.
What is the return on automating a workflow?
Work it out on your own numbers. If the system gives you back four hours a month and an hour of your time is worth $100, that is $400 of time against a $97 plan. If it gives you back nothing, cancel it. That is the whole test.
Will this replace the people who work for me?
No. It takes the repetitive, administrative work that your team should not be spending time on anyway. It frees your people up for the work that needs a person, like building relationships and serving customers.
What if something goes wrong?
Nothing goes out without you unless you decide it should. Drafts wait for your approval, and anything that touches a client is set up that way by default. When something needs changing, that is what the monthly time is for.
How long does it take to get running?
The Setup session is two hours, and you leave it with real work already done on your own accounts. Everything after that gets layered on a piece at a time, in the order you tell me matters most.
