AI Admin Help for Small Businesses Near Cleveland

I'm Jacob King, founder of King Intelligence in Akron, and I set up AI admin help for small business owners around Cleveland. One Claude system, built inside the email, calendar, payments and notes you already use, drafts your follow-ups and invoices and waits for your approval.

Who sets up AI admin help for a small business near Cleveland?

I do, and I'm the one in the room when it goes live. I founded King Intelligence in Akron in 2026, and I work in person across Cleveland, Akron, Canton and Northeast Ohio.

Owners outside the area work with me over Zoom. The setup is the same either way.

I set up one AI system, built on Claude, that lives inside the email, calendar, payments and notes you already use. There's no new app to log into.

It knows your business and writes in your voice. Drafts wait for your approval, so nothing reaches a client without you unless you decide it should.

I run King Intelligence on the same system I set up for you. My clients, billing, CRM, email, content and meeting notes all go through it.

What comes off my plate first?

These go first for most people, because they are the small tasks that fill your week.

Follow-up on inquiries

Someone reaches out, and it drafts the reply in your voice before you open the message. You read it and send it, or change a line first.

New client setup

Each time someone says yes, it runs the setup checklist you now keep in your head, from the welcome email to the calendar invite.

Notes and filing

It writes up your meeting notes and files them where they belong. You stop carrying them around until Friday.

Invoices and payment reminders

It drafts your invoices and has the payment reminder waiting for your approval the moment one goes unpaid. My take on payment follow-ups.

The weekly numbers

Once a week it writes up your numbers, what came in and who still owes you, so you skip the spreadsheet night.

Sorting email with drafts waiting

It sorts your inbox and leaves a draft under each message that needs you. You approve instead of type.

What did this look like for one owner?

A business owner I worked with kept one spreadsheet template they used for all their clients. Each time it changed, they copied it into each client folder by hand and retyped the client's name.

Older files also still carried a company name they had stopped using. They found out when they opened one and saw the old name sitting under their own logo.

Between our sessions, they told their Claude to add the new lines to the template and check the formulas. Then it dropped a blank copy, with that client's name on it, into each client folder.

Next they pointed it at their Dropbox and had it swap the old company name for the new one in the newer files. They told me about it the next time I sat down with them, and said it had saved them hours.

That's the admin I mean. You copy, paste and rename until the afternoon is gone.

How does the setup go?

It starts with the AI Audit. I sit with you and go through your real week, then write down the hours you'd get back and what to automate first, ranked.

Then we do the two-hour setup session, one on one, on your own business. We work on your real accounts, and it does real work that day.

You're in the room the whole time, so you leave knowing how to talk to it, and it already knows your business. More on how the two-hour start works.

My price sheet has the cost, and the audit comes first either way, in Northeast Ohio or on Zoom from somewhere else.

Frequently Asked Questions

Do I have to learn a new tool?

No. The system runs inside the email, calendar, payments and notes you already use. You keep working where you work now, and the drafts show up there.

Will it send things to my clients without me?

Not unless you decide it should. Drafts wait for your approval before anything goes out. You can loosen that later for specific tasks if you decide to.

What kind of business is this a fit for?

Coaches, consultants, fractional executives, advisors, agency owners, and small business owners who sell their time. If your admin grows each time you land a client, this is for you.

Do you only work in Northeast Ohio?

I work in person in Cleveland, Akron, Canton and the rest of Northeast Ohio. Clients anywhere else work with me over Zoom, and the setup is the same.

What happens first?

The AI Audit comes first. I go through your real week with you, then write down the hours you'd get back and what to automate first, ranked. The setup session comes after that.

Start with your real week

The first step is the AI Audit. We go through your actual week together, and you leave with a ranked list of what to hand off first.
